Evidence
A piece of evidence is the proof a member or participant uploads, usually a photo of a receipt, to show a purchase that should be rewarded.
How it fits together
Receipt photo → OCR → campaign rules → approved or rejected → prize + notice
│
└── doubts: manual review queue
- Upload: the person photographs the receipt from the portal, the landing page or WhatsApp.
- Reading (OCR): the system extracts the merchant, date, amount and, if readable, the products.
- Validation: it is checked against the campaign rules.
- Decision: it is approved, rejected or sent to manual review.
- Prize and notice: when approved, the prize is granted and the person is notified.
OCR and confidence
OCR returns a confidence level. If it exceeds the configured threshold, the evidence can approve itself; if not, it stays pending manual review. The OCR provider can be Gemini (the default), an external API of your own, or none, with fully manual review. See Receipt OCR.
Validation rules
Each campaign can require:
- a minimum or maximum amount,
- permitted merchants,
- mandatory products,
- valid receipt dates,
- a maximum number of receipts per person.
Duplicates
The system recognises the same receipt if it is uploaded twice, even if the photo changes slightly, and rejects it.
What happens on approval
- The campaign's points or prize are granted.
- In cashback campaigns, a pending payment is created.
- The person is notified over the channel they participated through. This notice is switched on or off per campaign.
Review
Doubtful evidence waits in Operations › Evidence review. Approving and rejecting requires the Review and change evidence status permission, which by default only the Admin role has. See Roles and permissions.
The screen lets you search by person (id, email, phone or alias), review items one by one or in bulk, and correct the amount read by OCR.
Anti-fraud
The Fraud Rules (Operations group) detect patterns such as many receipts in a short time or suspiciously identical amounts. On an alert they can just log it, require review or block. The alerts are in Operations › Alerts. They depend on your edition.
Where to configure it
- Review: Operations › Evidence review and Evidence Files.
- Anti-fraud rules: Operations › Fraud Rules.
- OCR provider: Receipt OCR.
- Member side: Scan and upload receipts.
