Run a raffle and publish the record

Pick winners at random among a campaign's participants, keep proof with a record and a certificate, and notify them. It takes about 15 minutes.

Before you start
  • Permissions: Campaigns to view and download · Editing Campaign to run, notify and reset · Starter edition or higher.
  • You have a campaign with participations. If it asked for a receipt, review the evidence first: by default only approved entries are included.

1. Open the raffle​

Go to Campaigns › All campaigns, open the Actions menu of the campaign and choose Raffle. You can also click Raffle in the header of the campaign page.

If the campaign is still open, wait for it to close for the final draw, or turn on Phased draw (active campaign) and fill in the Draw label.

2. Define who is in​

Adjust the pool:

  1. Under Pool sources, tick where the participations come from (Web form, WhatsApp, CSV import, etc.).
  2. Under Draw scope, choose General or By store.
  3. If you want, limit the period with From and To.
  4. Tick Exclude previous winners if you don't want a repeat winner.
  5. To add people who didn't take part in IncentIA, click Import CSV.

Enter how many winners you want and, under Reserves per winner, how many substitutes. Leave the Seed as auto or type some text so you can repeat the result.

3. Preview and run​

Click Preview to see the result without saving it. When you're happy, click Execute draw and confirm. The same seed with the same pool always gives the same winners.

4. Download the record​

In the history, the executed draw offers:

  • Download PDF (acta): the proof of the draw.
  • Download randomness certificate.
  • Download CSV (audit): the full pool with the winners marked.
  • View public certificate: the page you can show your participants.

5. Notify the winners​

Click Notify winners. Tick Include substitutes if you also want to notify the reserves. The result tells you how many were Notified, Already notified and No contactable member.

Messages already sent can't be recalled, and once you've notified you can no longer reset the draw. Check the list first.

6. Deliver the prizes​

On the campaign page, Participants tab, change each winner's status with Update shipping. More in Export data.

Check that it works​

  • The history shows the draw with its winners and reserves.
  • The Notification column shows Notified for each winner.
  • You open the PDF record and the public certificate without errors.
